This Privacy Policy explains how Matchline (“we”, “us”) collects, uses, and protects personal data when you use our job-matching platform, Career OS, People Hub HRMS, and related services.
Who we are
Matchline is operated by the entity that deploys this software instance. For privacy requests, contact support@matchline.app.
Data we collect
Depending on how you use the service, we may process:
- Account data — name, email address, password hash, plan/subscription status.
- Profile & CV data — resume files, skills, work history, location, job preferences, visa/sponsorship needs.
- Application data — job URLs, application status, cover letters, notes, screenshots you choose to store.
- Employer / HRMS data — if you use People Hub: employee records, leave requests, recruitment pipeline, org membership.
- Usage & technical data — pages visited, feature usage, IP address, browser type, session cookies.
- Payment data — processed by Stripe; we store subscription IDs, not full card numbers.
AI-assisted features
Some features use artificial intelligence to parse CVs, score job fit, draft cover letters, answer application questions, search talent, or interpret leave requests in plain language. When enabled, relevant profile and job text may be sent to AI providers (such as OpenAI) solely to deliver the feature you requested.
AI outputs are suggestions only. You are responsible for reviewing applications, leave bookings, and HR actions before they are submitted or relied upon.
How we use your data
- Provide account access, job search, matching, and application tracking.
- Run browser-assisted apply flows using information from your profile.
- Operate People Hub (leave, recruitment, org invites) for your employer tenant.
- Send transactional email (password reset, leave notifications, org invites) when SMTP is configured.
- Process subscriptions and enforce plan limits.
- Improve reliability, security, and product analytics.
- Comply with legal obligations.
Legal bases (GDPR / UK GDPR)
Where applicable, we rely on:
- Contract — to deliver the service you signed up for.
- Legitimate interests — security, fraud prevention, and product improvement (balanced against your rights).
- Consent — where required for optional marketing or non-essential cookies.
- Legal obligation — where we must retain or disclose data by law.
